We process personal data in  accordance with the Data Protection (Jersey) Law 2018 (DPJL) and, where applicable, the  General Data Protection Regulation (GDPR)

Huelin Homes acts as a Data Controller, meaning we determine how and why personal  information is processed.

The Personal Information We Collect 

Personal data means any information relating to an identifiable individual. 

We may collect the following personal information:

Identity Verification and AML Compliance 

To comply with legal and regulatory obligations, including Anti-Money Laundering (AML) and Counter-Terrorist Financing (CTF) requirements, we may need to verify your identity  before providing certain services. 

This may include collecting and processing: 

  • Identity documents 
  • Proof of address 
  • Financial information 
  • Source of funds information 
  • Property ownership information 

We may use third-party verification services to carry out identity verification and  compliance checks on our behalf. 

For example, we use Verify by Tiller, a secure third-party identity verification platform, to  collect and verify certain information required for compliance and regulatory purposes. Verify by Tiller acts as a Data Processor on our behalf and processes personal data in  accordance with applicable data protection laws. 

Information collected through Verify by Tiller is retained for no longer than 90 days, after  which it is securely deleted. 

Special Category Data 

In limited circumstances, we may collect Special Category Data, such as information relating  to: 

  • Health 
  • Disability 
  • Biometric data 
  • Race or ethnicity 

This will only occur where: 

  • You have provided explicit consent, or 
  • Processing is necessary for a legal obligation or legitimate service requirement.

For example, you may disclose information about accessibility requirements when searching  for suitable accommodation. 

How We Collect Your Personal Information 

We collect personal information when you:

  • Instruct us to market or manage a property 
  • Request property information 
  • View a property 
  • Submit an offer 
  • Register for property alerts or newsletters 
  • Apply to rent a property 
  • Use identity verification services connected to our processes

Access to personal information is restricted to employees, contractors, and third parties  who have a legitimate business need to know. 

All individuals processing personal data are subject to confidentiality obligations. 

Data Retention 

We will only retain personal data for as long as necessary to fulfil the purposes for which it  was collected, including legal, accounting, or regulatory requirements. 

In determining retention periods, we consider:

Where identity verification services such as Verify by Tiller are used, those providers retain  the collected information for up to 90 days before securely deleting it.

Where possible, personal data may be anonymised so it can no longer be associated with an  identifiable individual.

Right to Withdraw Consent

We may update this Privacy Notice from time to time. Any substantial changes will be  communicated to you or made available on our website.
